A shop sells a few items to each customer. A café or takeaway sells many small orders in a short window, and most of them arrive at 1pm. The POS has to keep up, keep the cash honest, and tell you at the end of the day whether the menu is making money. These are the needs that matter most.

Setting Up Your Menu as Products
In WebpinnPOS each menu item is a product with a name, category and selling price. Group items into categories such as drinks, mains, snacks and desserts so the cashier can tap through to what they need or search by name. Barcodes are optional, which suits a menu with no packaging.
Use product variants for sizes, so a tea or a chips portion has one entry with a price for small, medium and large. Update a price in one place and it changes on every till. For packaged items you buy in, such as bottled water, soda and snacks, track stock normally and set low-stock alerts so you reorder before you run out. Stock is tracked per item you sell. WebpinnPOS does not deduct raw ingredients by recipe, so a kitchen that needs ingredient-level costing will keep that in a separate sheet.
Taking Payment at the Counter
The customer orders, the cashier rings it up, and then payment depends on the customer. For M-Pesa, the cashier enters the customer's Safaricom number and sends an STK Push. The customer sees a prompt on their phone, enters their PIN, and the POS confirms the payment automatically. There is no message to read out and no screenshot to trust. When a group pays together, one sale can be split across cash, M-Pesa and card. Refunds and email receipts are built in, and a thermal receipt printer is optional if you want printed slips.
Handling the Lunch Rush
- Put the top sellers first. Arrange categories so the five items that make up most orders are one tap away.
- Use more than one till. All tills share the same live stock, so a second cashier at peak hour does not cause double-selling.
- Keep the menu short at the till. Hide items that are sold out today rather than letting the cashier discover it in front of the customer.
- Send M-Pesa early. Trigger the STK Push as soon as the order is confirmed, so the customer pays while the order is prepared.
Staff Accountability and Cash Control
Food businesses lose money in small amounts: a free drink, an unrecorded cash sale, a discount nobody approved. The fix is to make every action traceable.
- One login per cashier. Every sale is tied to a person, so you can compare takings by cashier.
- Shifts. Open and close a shift with a cash count, so each person is responsible for their own till.

- Expense tracking. Record stock purchases and daily expenses in the same system, so you see takings and costs together.
Know Which Menu Items Make Money
The reports in WebpinnPOS show profit on every sale, margin by product, and sales by payment method. Enter your buying cost for each item you buy in, and your selling price for each menu item, and the dashboard shows what each item earns. Review it weekly. Items that sell often but earn little are candidates for a price rise, and items that earn well but sell rarely deserve a place on the counter board.
Remember that menu margin only covers the cost you enter. If an item is made from several ingredients, work out its cost per portion first and enter that as the buying cost.
Bring Regulars Back
Loyalty points and a customer list are included on every plan. Regulars earn points on each purchase, and you can see who visits often and who has stopped coming. For a café that lives on repeat customers, that list is worth more than a discount sign in the window.

What If the Internet Drops?
