Quick answer

WebpinnPOS's Online Orders page lets you mark a Shopify or WooCommerce order fulfilled without leaving your POS dashboard. Clicking "Mark Fulfilled" creates a fulfillment on Shopify via its Fulfillment Order API, or updates the order status to "completed" on WooCommerce. If the push fails, you get a clear error and a Retry button. Nothing is silently lost.

Why fulfillment status used to mean switching tabs

Before this existed, closing out an online order meant logging into Shopify or WooCommerce separately to mark it shipped or completed: a second dashboard, a second login, and an easy step to forget during a busy day. Since WebpinnPOS already pulls in every online order with full customer and line-item detail, adding a fulfillment action to the same screen removes that extra hop entirely.

How the fulfillment push actually works

Every online order on your Online Orders page has a fulfillment status alongside its payment status. As long as an order hasn't already been fulfilled or cancelled, you'll see a "Mark Fulfilled" button on it.

  • You click "Mark Fulfilled" on an order once it's packed and ready to ship (or collected in-store).
  • WebpinnPOS calls the relevant platform's API, Shopify's Fulfillment Order endpoint, or WooCommerce's order status field.
  • The platform updates its own record, which is what your customer sees if they check their order status on your storefront.
  • Your Online Orders page reflects the new status immediately, no page refresh needed.

What happens when it fails

API calls to another platform can fail: a temporary network blip, an expired connection, or a permissions issue. When that happens, WebpinnPOS doesn't just silently drop the request. The order stays visibly marked with an error and a Retry button, so you always know exactly which orders still need attention, rather than assuming something went through when it didn't.

PlatformWhat "Mark Fulfilled" does
ShopifyCreates a fulfillment via Shopify's Fulfillment Order API against the order's open fulfillment order
WooCommerceUpdates the order's status field to "completed"

A one-time step for stores connected before this existed

If your Shopify store was connected to WebpinnPOS before order fulfillment support was added, your existing connection won't have the permissions this needs yet. WebpinnPOS detects this and shows a Reconnect prompt in Integrations. It's a one-time re-authorisation, not a full reconnection from scratch, and your product sync keeps working exactly as before throughout.

What this doesn't do: yet

Mark Fulfilled applies to the whole order at once. If you need to ship part of an order now and the rest later, a common scenario when one item is backordered, you'll still need to handle that split directly on Shopify or WooCommerce. For most single-shipment orders, which is the majority for a small or mid-size Kenyan store, this isn't a limitation you'll run into.
